FIELDKIT buying guide
Stationary Documentation & Review Desk
A buying guide for paper-heavy security assessors, investigators, and small documentation teams.
Turn recurring paper intake into a repeatable scan, check, and review process. Start with the equipment you already own. Add a component only when it fixes a demonstrated gap.
Research-based configuration, checked 18 October 2026. These products have not been physically tested together by BSH.
Who this is for
A solo practitioner or two-person team that regularly receives paper records and needs readable local PDFs for review and reporting. One person can handle intake while another checks the exported files. A solo user can perform a separate self-review pass.
If your work is already digital, skip the scanner. If your existing scanner, display, storage, or protected power meets the need, keep it.
This reference workflow uses public, non-sensitive test material. Production case files, agency evidence, CUI, CJIS-regulated information, and classified material require the appropriate authority's approval and procedures before use.
Choose only what is missing
Paper intake
Ricoh fi-8170
Exact part: PA03810-B055. Quantity: one shared scanner, only if needed.
A duplex document scanner with a 100-sheet automatic document feeder. The reference connection is direct USB to the intake laptop. Its advertised scanning speed is a manufacturer specification, not a measured end-to-end workflow result.
Reuse a suitable existing scanner first. For planning, allow roughly 400 × 700 × 440 mm with trays in use; this is a conservative workspace allowance, not the scanner's published chassis dimensions.
Optional controlled handoff
Kingston IronKey KP200C 256GB
Exact part: IKKP200C/256GB. Quantity: zero or one; a second requires a separate copy or handoff role.
Hardware-encrypted USB-C removable storage for an approved transfer process. Choose it only if existing approved storage does not already cover that role. Confirm capacity against your actual document workload and retention needs.
Encryption protects the drive's data at rest. It does not protect an unlocked session or copies left on a laptop. Use a separate recoverable backup; never make this drive the sole copy. Owner or IT handles PIN setup and recovery planning.
Optional review space
Dell UltraSharp U2724DE
Exact model: U2724DE. Quantity: zero to one per workstation.
A 27-inch QHD monitor with an integrated Thunderbolt hub for side-by-side document and report review. The reference setup uses its included Thunderbolt 4 cable and provides up to 90W laptop charging. A separate dock is unnecessary for this reference connection.
Confirm the laptop's Thunderbolt capability and charging requirement. A USB-C-shaped socket alone is insufficient. Keep an adequate existing display; extra screen space has not been shown to improve review quality in this configuration.
Optional protected power
CyberPower CP1000PFCLCD
Exact model: CP1000PFCLCD. Quantity: zero or one shared unit. US 120V configuration.
A 1000VA / 600W UPS for the planned scanner and monitor loads when existing protection is insufficient. Confirm the actual connected load, grounded outlet, and manufacturer setup requirements. Runtime must be tested with the actual equipment; no runtime is promised here.

Check compatibility before ordering
This reference configuration assumes existing supported Windows 11 x64 business laptops, approved PDF software, sufficient local storage, and a recoverable backup.
- Intake laptop: a free USB-A 3.x port for the scanner and its supplied cable.
- Optional Dell monitor: a verified Thunderbolt 4 port. If 90W charging is insufficient, retain the approved charger and recalculate the power load.
- Optional Kingston drive: a separate available USB-C data port and permission to use removable media.
- Scanner software: current approved PaperStream IP and the scanner's entitled standard PaperStream Capture installation. Match driver and application bitness. Paid Pro subscriptions are not required for the proposed basic local-file workflow.
- Reviewer: an existing approved PDF reader; a second Capture installation is unnecessary.
Resolve unknown ports, software entitlement, storage capacity, and endpoint permissions before buying. Other laptop configurations need their own compatibility review.
Try the workflow with existing equipment
- Choose disposable public test pages. Record expected pages and front/back content.
- Scan and check every page for order, readability, margins, and omissions. Review automatic cleanup and blank-page deletion settings.
- Preserve the first export. Keep OCR, annotations, and report derivatives separate. Check OCR against the visible page.
- Use an approved tool to compare selected file hashes before and after copying. Reopen the copied files and restore a sample from the separate backup.
- Record preparation, scanning, review time, and corrections. Compare with your current method before deciding what to buy.
Matching hashes confirm matching digital bytes. They do not prove source authenticity, complete capture, collection time, or chain of custody. This desk is not a forensic acquisition or evidence-management system.
Buying and support
These are ordinary retail links. BSH currently receives no affiliate commission from them. You purchase from the merchant; BSH is not the seller or fulfiller. Check the exact model, current price, stock, shipping, and return terms on the merchant's page. There is no fixed bundle price or required minimum purchase.
Merchant sale and return terms apply; manufacturers provide product support under their terms. This guide does not include installation, managed security, recovery services, or a hardware warranty from BSH. No agency approval, procurement eligibility, or compliance certification is claimed for the complete desk.
Start with the gap: document your paper volume, current equipment, laptop model and ports, approved storage, and review bottleneck. Buy only after those checks show a component has a useful role.
